Understanding Tasks
What is a task?
A task represents a follow-up action for a specific patient. Tasks help your team stay organised and ensure no patient contact is missed.
Task types
Each task has a type that tells you how you should follow up with the patient:

The type is shown as an icon next to the task in the list.
Task statuses
| Status | Meaning |
|---|---|
| Open | The task has not been completed yet |
| Completed | The task has been completed with an outcome |
| Cancelled | The task was cancelled and no longer needs action |
How tasks are created
Tasks can be created manually by you or another team member. They can also be created automatically by the workflow automation system when a patient moves into a new pipeline stage. Automatically created tasks will appear in your task list just like manual ones.
How stage changes affect tasks
When a patient moves to a new pipeline stage, all of their open tasks are automatically completed. This keeps the task list clean and ensures old tasks don't linger after a patient's situation has changed.
If the new stage requires follow-up (such as Pending Calls), a new task is created automatically and will appear in your task list with status Open.
In summary:
- Stage changes → existing open tasks → Completed
- Pending Calls stage entered → new task → Open
- Waiting For reminder date reached → patient moves to Pending Calls → new task → Open
