Automated Stage Movements

Coda Crimson automatically manages tasks and stage movements so your team doesn't have to track every transition manually.

Task lifecycle on stage change

Every time a patient moves to a new stage, the following happens automatically:

2Workflow automation for the new stage runs
3If the new stage is Pending Calls, a new task is created
4The new task appears in the task list with status Open

This means each stage transition gives your patient a clean slate — old tasks are closed, and a fresh task is created if follow-up is needed.

Waiting For → Pending Calls automation

When you move a patient to the Waiting For stage and set a reminder date:

  1. The patient waits in the Waiting For stage
  2. On the reminder date, the system automatically moves them to Pending Calls
  3. A new open task is created for the patient in Pending Calls

Your team will see the new task appear in their task list on that date without any manual action.

No Answer automation

When a task is completed with a No Answer outcome:

  1. The patient is automatically moved to the No Answer stage
  2. All other open tasks for the patient are completed
  3. Workflow automation for the No Answer stage runs (may schedule a follow-up)

What you need to do

In most cases, automation handles transitions. Your role is:

  • Work open tasks — call, email, or SMS the patient and record the outcome
  • Move patients manually when their situation changes (e.g. they book an appointment)
  • Set a reminder date whenever you move a patient to Waiting For

Tip: If a task appears that you didn't create, it was generated automatically when the patient entered a new stage. Work it the same as any manually created task.
